How SentryPODS collects, uses, and protects information when you visit our website or contact us.

Effective: November 6, 2026 Last updated: November 6, 2026

SentryPODS is a product of its parent company, Smart Digital LLC (“SentryPODS,” “we,” “us,” or “our”). This policy explains how we collect, use, and share personal information through sentrypods.com. The website is intended for customers throughout the United States.

This policy applies to our website, marketing, and inquiry activities. It does not govern video, telemetry, account information, or other data processed through customer-operated SentryPODS products or services unless a separate notice expressly states otherwise.

Information we collect

Contact and quote forms. When you submit a Gravity Forms contact or quote form, we may collect your name, business email address, phone number, company, mailing or project address, purchase preference, project details, marketing preference, and anything else you include. We use this information to respond to your request and manage our relationship with you.

The marketing preference begins unselected, and you may choose whether to receive marketing emails. Form submissions are processed independently of optional analytics and advertising cookies. Submissions are stored in WordPress and transferred to HubSpot.

WordPress copies are retained indefinitely unless an authorized Smart Digital LLC/SentryPODS user manually deletes them. HubSpot contact records are likewise retained unless they are manually deleted or the HubSpot account is closed, subject to HubSpot’s deletion and backup processes.

Information collected automatically. We and our service providers may collect information such as your IP address, approximate location, device and browser information, referring pages, pages viewed, links clicked, session activity, access times, consent choices, and cookie or similar identifiers. The information collected depends on the technology, configuration, and choices available to you.

Information from other sources. We may receive business contact or company-level information from service providers, referral partners, advertising platforms, public sources, and tools such as Leadfeeder/Dealfront that may associate website activity with an organization.

How we use information

We use information to respond to inquiries and quotes; communicate about products and projects; operate, secure, and improve the website; measure traffic, calls, campaigns, and conversions; understand business interest in SentryPODS; send marketing where permitted; prevent fraud; comply with law; and protect rights and safety.

Cookies, consent, analytics, and advertising

We use cookies and similar technologies to operate the website, remember preferences, understand website use, measure advertising, and improve performance. HubSpot provides our opt-in cookie preference system. You may accept all optional cookies, decline them, or choose individual Analytics, Advertisement, and Functionality categories.

You can review or withdraw your choices at any time through the Cookie Settings link in the website footer.

Google Advanced Consent Mode. When analytics or advertising consent has not been granted, Google tags may send limited cookieless measurement requests. These requests do not read or write analytics or advertising cookies, but they may communicate limited technical, consent, and page-interaction information to Google for aggregated measurement and modeling.

When consent is granted, the technologies permitted by your selections may use cookies and collect additional measurement information.

Our website technologies include:

  • HubSpot for the cookie banner, category preferences, consent records, and contact or customer relationship processing where configured;
  • Google Tag Manager to deploy and manage website tags;
  • Google Analytics 4 for traffic, interaction measurement, and modeling;
  • Google Ads for campaign and conversion measurement and audience use;
  • Microsoft Clarity for interaction analytics, heatmaps, and session reconstruction;
  • CallRail for dynamic number insertion, call attribution, recording, transcription, and storage;
  • Leadfeeder/Dealfront for company-level visitor identification and website-activity analysis; and
  • Google Search Console and Bing/Microsoft webmaster tools for search visibility and performance reporting.

We do not use social-media advertising pixels on this website. We do maintain and link to social-media profiles. A platform’s own privacy terms apply when you visit it.

Microsoft Clarity. Clarity may process page and device information and interactions such as clicks, scrolling, navigation, and mouse movement to provide heatmaps and reconstruct website sessions. The site uses Clarity’s Balanced masking mode, which is designed to mask sensitive text and image content, including information entered by visitors.

Clarity generally retains session-playback data for 30 days. Heatmap data and a limited sample of recordings may be retained for up to nine months.

Call recording and transcription. Before a caller is connected to sales or support, the telephone system states that the call is recorded and may be transcribed for quality assurance, training, recordkeeping, and lead evaluation; explains that continuing indicates consent; and directs callers who do not consent to end the call and contact us through sentrypods.com.

Calls handled through CallRail are recorded, transcribed, and stored. We use these records for the announced purposes, including documenting communications, helping protect our team in the event of a dispute or liability issue, and evaluating lead quality and marketing performance.

Access to the CallRail account, call recordings, and transcripts is restricted to authorized Smart Digital LLC/SentryPODS personnel. CallRail retains communication records, including call recordings and associated transcripts, for up to 25 months unless they are deleted sooner.

Leadfeeder/Dealfront. Leadfeeder/Dealfront is used to understand company-level website activity. It is not currently connected to HubSpot, and identified-company information is not currently used for direct sales outreach.

Our current service provides ongoing visitor-data storage, so identified-company activity may remain available until it is deleted or the service relationship ends.

Google Analytics and Google Ads. GA4 is linked to Google Ads, and website metrics and GA4 audiences are imported into the linked Google Ads account. Google Ads maintains website-visitor and GA4 audience segments, audience signals are used in advertising campaigns, and personalized advertising is enabled on the GA4–Google Ads link.

Google Signals data collection is enabled in all available regions, and some audience segments are marked as Customer Match enabled. GA4’s user-provided data collection and automatic detection features are also enabled.

When permitted by your consent choices, customer identifiers detected on the website, such as an email address or phone number, may be transformed into a hashed format and sent to Google for measurement, audience sharing, and advertising personalization. Google Ads enhanced conversions are not currently enabled.

Hosting, security, and essential processing

Some technical processing is necessary to deliver and protect the website and does not depend on optional cookie preferences. Our hosting, infrastructure, and security providers, including Cloudways and Cloudflare, may process IP addresses, browser and device information, HTTP request data, and security logs as necessary to deliver the website, maintain availability, detect abuse, and protect our systems.

How we share information

We may disclose information to service providers that host, secure, operate, analyze, advertise, and support our website and business; within Smart Digital LLC; to professional advisers; when required by law; to protect rights, safety, and property; or as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets.

Service providers may include the website, form, CRM, analytics, advertising, call-tracking, visitor-identification, hosting, and security providers described in this policy.

We do not sell personal information for monetary consideration. Some state laws may treat certain advertising, analytics, audience, or business-identification disclosures as a “sale,” “sharing,” or “targeted advertising” even when no money changes hands.

You can manage optional analytics and advertising technologies through the Cookie Settings link in the website footer.

Retention and security

Retention depends on the type of information and the system that holds it. WordPress form submissions and HubSpot contact records are retained indefinitely unless manually deleted, as described above. CallRail communication records are retained for up to 25 months unless deleted sooner. Clarity retention is described above.

Analytics, advertising, visitor-identification, hosting, and security information is retained according to our settings, the provider’s applicable retention periods, and our operational and legal needs. We delete or deidentify information when it is no longer reasonably necessary for the purposes described in this policy, subject to backup, security, dispute-resolution, and legal requirements.

We use reasonable safeguards designed to protect personal information. No website, transmission, or storage system is completely secure.

Your privacy rights and choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information; opt out of certain sales, sharing, targeted advertising, or profiling; limit certain uses of sensitive information; and appeal a decision.

We may need to verify your identity or an authorized agent’s authority. We will not discriminate against you for exercising an applicable right. Contact us using the information below to submit a request.

You may unsubscribe from marketing emails using the link in the message. We may still send non-promotional communications about an inquiry, transaction, or business relationship.

Children’s privacy

This business website is not directed to children under 13, and we do not knowingly collect their personal information through it.

Third-party links

The website may link to social profiles, videos, maps, and other third-party services. We do not control those services, and this policy does not apply to their privacy or security practices.

Changes to this policy

We may update this policy. We will post the revised version here, update the “Last updated” date, and provide any additional notice required by law.
